01 · Organiser

Build the room before you run it.

Use a laptop for setup and live control. Circuit separates reusable content, one event’s delivery and released student feedback so each decision stays clear.

    Prepare people

    Open Participants, import names and emails, issue individual email-locked links, then confirm every joined person has the correct role. Use a shared role code only for an unplanned replacement.

  2. 02

    Build once, reuse safely

    Create polished templates in Station bank. Adding one to an event makes an event-specific copy, so historical mocks do not change later.

  3. 03

    Create the event

    Set the name, date, venue and duration. Add station locations, candidate prompts and observable mark-scheme criteria.

  4. 04

    Generate the circuit

    Create the round-robin schedule, review every slot and use conflict previews for any manual reassignment or swap.

  5. 05

    Run live control

    Check attendance, start or pause the shared clock, monitor overdue attempts and resolve day-of exceptions from one control room.

  6. 06

    Release deliberately

    Resolve missing submissions, review analytics, lock the result snapshot, export CSV and only then release feedback.

02 · Examiner

One station, one clear next action.

    Check

    Confirm event, round, candidate, station and room before the candidate enters.

  2. 2
    Start

    Press Start & release prompt only when both people are ready. This unlocks that student’s prompt and timer.

  3. 3
    Capture

    Tap achieved criteria, add useful Replay moments and write one strength plus one next priority.

  4. 4
    Watch save state

    Wait for All marks saved. If offline, use the emergency paper sheet and tell the chief organiser.

  5. 5
    Submit once

    Choose the global rating, submit marks and confirm the station changes to completed.

03 · Student

See where to go. Nothing you should not see.

    Join

    Use the exact Google email that received your individual invitation.

  2. 2
    Move

    Follow the round, station title and room shown in your queue. Schedule updates arrive automatically.

  3. 3
    Wait

    Prompt locked is intentional. Future candidate instructions are not available while you transfer.

    Begin

    When the examiner starts, the prompt and server-aligned countdown appear automatically.

  5. 5
    Review

    After organiser release, open criteria, feedback, recurring themes and your timestamped Replay.

Event-day safety

Make change possible without making chaos.

Students and examiners can be replaced on the day. Use the built-in assignment and swap previews so the same person is never placed in two stations in one round.

Student not signed up

Keep the pre-filled email. Their verified Google sign-in links the planned assignments.

Replacement arrives

Issue a replacement invite, then reassign or swap with the conflict preview.

Examiner device fails

Move them to a spare device with their own account, or use the signed paper sheet.

Venue internet fails

Pause, test the hotspot, switch to the printed pack and reconcile with two people.

Before a real cohort

Rehearse it with people in the room.

Run one small mock on the actual venue network, using the actual devices, then close every issue before the 100-person pilot.
